Description
We are looking for a professional and organised Front of House and Administrative Assistant to manage reception, support office operations, and provide high-quality administrative assistance. The role involves handling client interactions, coordinating meetings, and maintaining a professional and efficient office environment.
Key Responsibilities
- Front of House
- • Manage the reception area and ensure it is consistently professional, organised, and welcoming.
- • Greet guests and visitors courteously and professionally.
- • Answer, screen, and direct incoming phone calls appropriately.
- Facilities and Office Presentation
- • Proactively ensure that all office areas are clean, tidy, and presentable at all times.
- • Ensure meeting rooms are properly prepared in advance of meetings and restore meeting rooms to a neat and orderly condition after use.
- • Support the smooth day-to-day running of the office environment and help maintain a professional standard throughout the premises.
- Administrative Duties
- • Support communication and coordination with external Public Sector and Public Service entities as required.
- • Assist in managing KYC processes for prospective clients, including the collection, organisation, and follow-up of required documentation.
- • Attend meetings when required, prepare accurate minutes, summarise discussions and action points, and track follow-ups using the Company’s digital tools and systems.
- • Take clear and accurate dictation and transcribe and format written material to a high professional standard.
- • Draft, format, compile, and proofread formal documents, reports, letters, standard operating procedures, presentations, and general correspondence as directed.
- • Assist with calendar management, meeting coordination, and scheduling of internal and external appointments.
- • Support client and stakeholder communications in a professional and timely manner.
- • Support the operations of the business by inputting and processing data in the Company’s digital tools and systems as required.
- • Organise, maintain, and update digital and physical filing systems to ensure efficient document control and retrieval.
- • Handle sensitive information and documentation with the highest level of confidentiality and discretion at all times.
